managing your participants

This page contains information and tools you can use to manage your fundraiser places, and ensure a smooth & well-supported experience for your supporters. This includes our reporting portal, where you can view and download the most up-to-date list of participants who have elected to support your charity when signing up via our registration forms.

the FUNDRAISER PORTAL

Your Ultra Challenge fundraisers will be shared with your charity via a secure online portal, which allows you to track, manage & report on all of your fundraisers. All fundraisers will be added to this same portal, for the remainder of 2024 and going in to 2025. 

Only charities that have registered with us and have a fundraiser signed up (for that year i.e. 2025) will receive a notification from us with the details of how you can log into your portal.

We update all registrations into the portal once a week.

Once you have your first fundraisers registered for the Ultra Challenge Series, you will be sent an email notification with your log in details for the reporting portal link. Via this portal you can see who has signed for each challenge, their funding option, distance, fundraising target, 50% fundraising target deadline, cost to the charity and fundraiser contact details so you can begin stewardship. This portal will be updated weekly with new registrations. 

Once you have been sent an email notification of your first fundraiser, you must login to your charity portal and ‘acknowledge’ any fundraisers listed on there. Doing this lets us know that you are aware of them, have/are making an effort to contact them, and you are offering them fundraising stewardship.

Once you have been sent your fundraiser info, you should focus on supporting their fundraising – ensuring they are on track to meet their 50% minimum target (3 weeks before each challenge). 5 weeks before each challenge, we will ask you to let us know if you are not happy to cover the cost of anyone’s place (ie: if they haven’t done any fundraising!), and this can be done via the reporting portal. This means you will only be invoiced for fundraisers who have met their 50% minimum fundraising targets.

You may receive requests from your fundraisers to make changes to their registrations. Please be aware that that there is an admin fee that a participant must pay to request a change to their registration. 

2025 charity partner pricing

When listing the Ultra Challenges on your charity website, please ensure you have the correct pricing for each funding type. you can also include details of our current deal – BUT please make sure that this is updated, and you don’t have old deals listed after they have expired.

As our Official Fundraising Partner, all pages created for the 2025 Ultra Challenge Series must be set up using the correct Just Giving deep links.

If you are sending ‘links’ / instructions out to your fundraisers – please use the links from the Ultra Challenge event list here. We do NOT want to confuse participants by sending out contradictory messages – or making it difficult to reconcile data between your charity and ourselves.

Therefore please ensure your fundraising communications and journey is using the links below.

Our team update the registrations forms and website weekly. If your charity has not been by the Friday of the week after you registered, please contact charity@actionchallenge.com

Our team update the portal reports weekly. All new fundraisers should be added by Friday each week. 

If a fundraiser has created a fundraising page for your charity and does not appear on the portal report after this time, they may be a "self-funder", or may have selected a different charity on the registration form.

 

Please contact charity@actionchallenge.com if it has been longer than a week and they are still not showing on your portal report.
